This tool was developed by OnMark Advisors. It’s the agenda we use with our clients to keep their online marketers organized and on track during monthly meetings. Below are the instructions for how to use each section.

Tasks Accomplished Since Last Meeting

Used to Communicate: Which tasks your online marketers have accomplished since your last meeting. Not all agencies will provide hours that correlate to those tasks but ideally, they will.

Discipline: The category of online marketing the task applies to. This would typically be SEO, Paid Media (PPC including Paid Social), Social Media and Website.

Hours Projected: The number of hours originally estimated to accomplish the task.

Hours Actual: The number of hours it took to accomplish the task.

Reporting

Used to Communicate: Number of leads/sales generated last month per discipline and the costs associated with those leads/sales.

Total: Add up the number of leads for each discipline.

Total Cost: The cost of your online marketing for each area of discipline. Your paid media cost should be your ad spend plus your paid media management fee and any conversion rate optimization fees.

Cost Per Lead: Divide the total cost by the total cost per discipline.

Important Notes: Your business may not have all of the lead/sales types in the left column. Simply delete the ones that are not applicable or add new ones by adding a line to the table.

Used to Communicate: Which tasks your online marketers are currently working on or have planned for this month.

Discipline: The category of online marketing the task applies to. This would typically be SEO, Paid Media (PPC including Paid Social), Social Media and Website.

Hours Projected: The number of hours originally estimated to accomplish the task.

Target Date: The date your online marketers plan to accomplish the task.

Company Successes

Used to Communicate: Wins for the company, successes from both online marketing and offline endeavors, changes in the market that favor your company.

Company Challenges

Used to Communicate: Challenges your company is experiencing from both online marketing and offline endeavors or changes in the market that work against your company.

Company Changes

Used to Communicate: Changes that may impact your marketing including new products or services in the pipeline, changes to your brand like a new logo, slogan or tagline, sales or promos you’re having and changes to your operating hours.

Outstanding Deliverables

Used to Communicate: Things you owe your online marketers and things they need from you including approvals on assets they’ve created and creative or logins they may need from you.

Who: Whichever party is responsible for producing the deliverable. This might be the company, the department or an individual.

Ask Date: The first date the deliverable was requested.

Due Date: The date the other party needs the deliverable.
